Fliqmedia Tech Private Limited ("LinkFliQ", "we", "our", or "us") operates the LinkFliQ platform. This Privacy Policy explains what data we collect, how we use it, who we share it with, and what rights you have.

LinkFliQ is an AI-powered Instagram automation platform that connects to your Shopify store to handle DMs and comments, recommend products from your live catalogue, resolve order and support queries, detect spam and abuse, and escalate sensitive conversations to your human team. We operate exclusively through Meta-approved APIs and are Shopify App Store verified.

By using LinkFliQ, you agree to this Privacy Policy.

1. Who This Applies To

This Privacy Policy applies to:
  • Brands and Agencies ("Users") who sign up for LinkFliQ accounts.

  • End Customers of those Brands whose Instagram messages or comments are processed through LinkFliQ.

Roles Under the DPDP Act, 2023

For End Customer data processed through your Instagram account:

  • You (the Brand) are the Data Fiduciary. You determine the purpose and means of processing.

  • LinkFliQ is the Data Processor. We process data on your behalf, under your instructions and these terms.

You remain responsible for honoring End Customer rights, displaying disclosures where required, and maintaining your own privacy policy.


2. What We Collect

We collect only the data needed to operate LinkFliQ.

A. Account Data (from Brands and Agencies)
  • Name, email address, phone number

  • Workspace and brand information

  • Login credentials and authentication logs

  • IP addresses and device metadata used for security

  • Communication preferences

B. Instagram Data (via Meta-approved APIs)
  • Instagram Business or Creator account ID and page ID

  • DMs and comments received on the connected account

  • Message metadata (timestamps, conversation IDs, status)

  • Public profile information of users who message your account (handle, name, profile picture)

  • Story replies and reaction events when applicable

We never collect or store your Instagram password. All access is via Meta OAuth and the official Instagram Graph API.

C. Shopify Data (via official Shopify API)
  • Product information (titles, descriptions, prices, variants, inventory)

  • Collection and catalogue structure

  • Order metadata (order ID, status, tracking, fulfillment status)

  • Basic store metadata required for accurate replies

We access only the Shopify scopes necessary to operate the service. We do not store full payment card details, complete customer addresses, or other sensitive PII beyond what is required to look up an order. Most Shopify data is fetched live in real time rather than stored.

D. AI Processing Data
  • Message classification (query, complaint, buying intent, scam, etc.)

  • Intent detection and sentiment analysis outputs

  • Escalation actions and routing logs

  • Automation performance metrics

E. Knowledge Base Data
  • FAQs, policies, and brand guidelines you upload

  • Website content, documents, and manual inputs

  • Brand voice and tone configurations

F. Billing Data

  • Subscription plan and credit usage

  • Invoices, payment confirmations, GST details

  • Billing contact information

We do not store card numbers, CVVs, or full bank account details. Payment processing is handled by PCI-compliant payment processors (such as Razorpay or Stripe).

G. Cookies and Usage Data (on linkfliq.com and the dashboard)
  • Session cookies for login

  • Analytics cookies for product improvement

  • Preference cookies for UX customization


3. How We Use Data
We use the data we collect to:
  • Connect and operate Instagram and Shopify integrations

  • Automatically respond to DMs and comments using AI

  • Generate context-aware replies from your live Shopify catalogue

  • Detect spam, scams, abuse, and competitor link drops

  • Identify high-intent buyers and escalate sensitive conversations to your team

  • Provide analytics, conversation insights, and reports

  • Improve LinkFliQ's accuracy, safety, and performance

  • Manage billing, invoicing, and account operations

  • Communicate with you about service updates, billing, and support

  • Meet legal, regulatory, and security obligations

What We Do NOT Do
  • We do not sell your data or End Customer data

  • We do not use your data for advertising

  • We do not share customer conversations for marketing purposes

  • We do not use your customer data to train models for other businesses


4. Legal Basis for Processing

We process data based on:

  • Contract performance: to deliver the service you signed up for

  • Legitimate interest: for security, fraud prevention, and product improvement

  • Consent: where required, for example for marketing communications

  • Legal obligation: to comply with applicable laws including the DPDP Act, 2023 and the IT Act, 2000


5. Automation, AI, and Human Escalation

LinkFliQ is built to automate routine conversations while ensuring humans stay in control of sensitive matters.

Automatic Escalation Triggers

Conversations are routed to your human team when:

  • A post is not connected to LinkFliQ but receives a pricing or product query

  • A user shares reels of other accounts or sends screenshots

  • An order ID, email, or phone number does not match a real Shopify order

  • A collaboration or partnership request is received

  • The AI detects sensitive, complex, or high-risk content

AI Processing

Messages are processed by AI infrastructure (including third-party large language model providers) under strict data protection agreements. AI providers do not retain your data for training their models.

6. Meta and Shopify Integrations

Instagram (via Meta-approved APIs)

  • Access granted through Meta OAuth with explicit user permission

  • Messaging respects Instagram's 24-hour messaging window and platform rules

  • We follow Meta's Platform Terms and Developer Policies in full

  • LinkFliQ is Meta-approved, meaning Meta has reviewed and approved our use of their APIs

Shopify
  • Access granted through Shopify OAuth with explicit user permission

  • Data used only for replying to product, order, and support queries

  • LinkFliQ does not modify store settings, products, prices, or orders without your explicit action

  • LinkFliQ is Shopify App Store verified

  • You can revoke LinkFliQ's access at any time from your Shopify admin


7. Data Storage and Security

Where Data Lives

Your data is stored on secure cloud infrastructure provided by trusted enterprise providers (such as AWS or Google Cloud). Servers may be located in India and other regions.

Security Measures

  • Encryption in transit: TLS 1.2 or higher for all data transfers

  • Encryption at rest: industry-standard encryption for stored data

  • Access controls: role-based access; only authorized personnel can access data for support or security purposes

  • Audit logging: all access and changes are logged

  • Authentication: OAuth-based integrations, no password storage for connected accounts

  • Vulnerability management: regular security reviews and dependency monitoring

  • We follow security practices aligned with SOC 2 principles. Formal certification is in progress.

Data Breach Notification

In the unlikely event of a data breach affecting your data, we will notify you and the Data Protection Board of India (or other applicable authority) within timelines required by the DPDP Act and applicable law.


8. Data Retention

We retain data only as long as necessary to provide the service and meet legal obligations.

Account Deletion

If you delete your account:

  • Personal and Brand data is deleted or anonymized within 30 days

  • End Customer conversation data is deleted within 30 days

  • Records required for legal, tax, or audit purposes are retained for the period mandated by law

  • Aggregated and anonymized data may be retained beyond this period


9. Data Sharing

We share limited data only with parties necessary to operate LinkFliQ:
  • Meta Platforms, Inc.: for Instagram API operations

  • Shopify Inc.: for Shopify integration functionality

  • AI infrastructure providers: for message processing under strict data agreements

  • Cloud hosting providers: for storage and compute

  • Payment processors: for subscription billing

  • Analytics providers: for product usage analytics on the dashboard

  • Email and communication providers: for transactional emails

All sub-processors are bound by confidentiality and data protection obligations.

We may also disclose data:
  • To comply with legal obligations, court orders, or law enforcement requests

  • To protect the rights, property, or safety of LinkFliQ, our users, or others

  • In connection with a merger, acquisition, or sale of assets (with prior notice)

We never sell or rent user data.


10. Your Rights

Depending on your jurisdiction, you have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Delete your data (subject to legal retention requirements)

  • Restrict or object to certain processing

  • Withdraw consent where processing is based on consent

  • Data portability: receive your data in a machine-readable format

  • Nominate a representative under the DPDP Act

  • Lodge a complaint with the Data Protection Board of India or other applicable authority

To exercise any of these rights, email support@linkfliq.com. We respond within timelines mandated by applicable law (typically within 30 days).

End Customer Rights

End Customers should contact the Brand directly for data access, correction, or deletion requests, since the Brand is the Data Fiduciary. We assist Brands in fulfilling these requests.


11. International Data Transfers

Some data may be processed on servers outside India through our cloud and AI providers. Where applicable:

  • We comply with cross-border transfer requirements under the DPDP Act

  • We use providers that maintain equivalent data protection standards

  • Standard Contractual Clauses or other safeguards are used where required (for example, for GDPR-applicable data)


12. Cookies and Tracking

We use cookies and similar technologies on linkfliq.com and the LinkFliQ dashboard to:

  • Maintain login sessions and authenticate users

  • Remember preferences and settings

  • Measure feature usage and performance

  • Detect security threats

You can control cookies through your browser settings. Disabling essential cookies may affect dashboard functionality.


13. Marketing Communications

We may send service emails (billing, security, updates) regardless of marketing preferences. Marketing emails are sent only with your consent and you can unsubscribe at any time using the link in the email or by contacting support@linkfliq.com.


14. Children's Privacy

LinkFliQ is intended for business use and is not directed at individuals under 18 years of age. We do not knowingly collect data from minors. Brands using LinkFliQ are responsible for ensuring their End Customer interactions comply with applicable child privacy laws.

If you believe a minor has provided data to us, contact support@linkfliq.com for immediate deletion.


15. Third-Party Links

The LinkFliQ website, dashboard, and AI replies may contain links to third-party websites (such as your Shopify store, Meta, or external resources). We are not responsible for the privacy practices of those third parties. Review their privacy policies separately.


16. Changes to This Policy

We may update this Privacy Policy to reflect product changes, legal updates, or security improvements. Material changes will be communicated via email or in-product notification at least seven (7) days before they take effect.

Continued use of LinkFliQ after updates means you accept the revised policy. The "Effective Date" at the top of this document indicates when it was last updated.
